Administrative Assistant
Dallas, TX

We have an immediate opening for an experienced administrative assistant to coordinate and support a variety of administrative functions at our Dallas Regional Office. The successful candidate will be well organized, possess exceptional written and verbal communication skills, able to file and proofread correspondence, handle multiple tasks on a daily basis, and be comfortable working in a dynamic environment with rapidly shifting priorities and workloads.

Overview of Responsibilities:

  • Provide timely and accurate work to support the successful delivery of our professional services

  • Set-up and maintain files, maintain logs and audit trails in compliance with established security procedures, track renewal dates for security clearances

  • Perform a variety of daily administrative functions within the Dallas office such as type, edit and proofread letters and correspondence as required

  • Prepare PowerPoint presentations, spreadsheets, and reports

  • Schedule meetings and conference bridge calls, maintain and prepare project files for archiving

  • Make travel arrangements such as hotel, airline, rental car

  • Answer phones in a professional manner

  • Assist in the processing of expense reports and check requests

  • Review Requests for Proposals for submission requirements and provide support to the Business

  • Development team to prepare response, gather or prepare documents and information necessary to meet submission requirements

  • Prepare and process incoming/outgoing mail and distribute appropriately

  • Order office supplies. Coordinate/arrange office repairs, maintenance service, pool vehicles maintenance by taking/picking up vehicles for service

  • Provide assistance to new hires that are assigned to your office

  • Provide support to market segments including huddle calls, taking of minutes, supplying of reports

  • Input data forwarded from business development and project teams into CRM database

  • Assist with the arrangements of special events, Set-up telephone extensions and security code for the Dallas office

  • Assure that standards and procedures in the Dallas office are followed

Qualifications:
The successful candidate will hold an associate’s degree, will have at least two to five years of experience as an administrative assistant, and will be proficient with Microsoft Office software. Additional relevant experience will be considered in lieu of an associate’s degree.

Receptionist

Overview of Responsibilities:

  • Operate multi-line phone system and direct callers to the appropriate individual or department

Marketing Manager

We have an immediate opportunity for a talented Marketing Manager to join our Architecture and Engineering group. 

Responsibilities:

  • Provide support for marketing initiatives, including advertising, print materials, public relations, special events, and strategic marketing planning within the Architecture and Engineering arena and for corporate initiatives 

  • Work with the Architecture and Engineering business development team and corporate marketing to implement the strategic marketing plan for the Architecture and Engineering group

  • Ability to manage multiple tasks for a wide variety of clients and tight deadlines simultaneously

  • Exceptional organizational, listening and verbal skills

  • Ability to work well both independently and with departmental, administrative, and technical teams

  • Experience working for a large, multi-office firm is strongly preferred

Chief Marketing Officer

This position’s purpose is to direct corporate activities and initiatives related to our firm’s strategic marketing orientation and to lead the operations and staff of the Corporate Marketing department.  This is a senior level position with responsibility for coordinating a strategic marketing position to promote our firm, enhance our ability to identify sales opportunities, and attract new talent.

Requirements

  • Identify metrics, create measurements, set goals, and develop a strategic plan for the firm’s marketing programs.  Implement the tactics to achieve them and demonstrate a return on investment (ROI)
  • Provide process-driven strategic leadership to gain market share and enhance lead generations to create new business opportunities for the firm.  Recommend alignments to business development plans
  • Design, develop, implement, and lead market research projects.  Analyze results and determine conclusions
  • Lead activities pertaining to the firm’s identity, branding, brand promise, proposal preparation, media relations, communications, collateral materials, value proposition, publication of client newsletters, and the corporate marketing information system
  • Oversee the leadership and coordination of corporate conference exhibits and plans, the development and implementation of market perception surveys including follow-up analysis
  • Provide tactical and strategic advice and support to corporate executive leadership
  • Supervise, mentor, and coach corporate marketing staff to further develop their skills
  • Assist with mentoring and advising division marketing representatives to align with corporate marketing programs

Qualifications
Bachelors degree, masters degree preferred.  Minimum of 10 years of strategic leadership experience in professional marketing services and a documented history of successfully managing a marketing program.

This position is a general administrative support role.

Requirements:
The successful candidate must have an Associate’s Degree or higher and must be able to: accurately enter data, file and proofread, handle multiple tasks on a daily basis, work without constant over-sight or direction, and be comfortable working in a dynamic environment with rapidly shifting priorities and workloads. Must have two to five years of professional office experience, strong knowledge of office procedures with exceptional strengths with all Microsoft Office applications, specifically Microsoft Word and Excel. Strong organizational skills, attention to detail, ability to multi-task and exceptional written, and phone/verbal communication skills are also required. Knowledge of Microsoft Access and PowerPoint applications are a plus. Those candidates with extensive/primary experience background in payroll, accounting, and financials are not preferred.
